Meetings Minutes
November 30, 2006

President Johnnie Stevenson called a general meeting of the Alpha Eta Phi chapter to order at 12:06 pm in Room 102.

Old Business included discussion of money to purchase Christmas gifts for the family chosen previously. Members voted to use the $206 from the doughnut sale and add $94 from the chapter treasury for a total of $300. It was decided that the gifts would be delivered on December 21. Advisor Farabow would withdraw $300 from the chapter treasury and have it ready for Johnnie Stevenson or Judy Oglesby to pick up on Dec.14 or 15.

It was determined that 70% of new members had attended the day or evening orientation.

It was reported that the reason for adding John Sharpe to e-mail address books is to participate in a regional recognition of chapter activity—the Communication Award.

Advisor Conteh spoke to members and advisor about the need for guidelines, saying that the chapter is “not run right,” that “communication is not properly done.” He proposed that “we cancel everything until next semester”—that we wait until January to have an induction. He stated that secretaries should schedule meeting times.

It was decided that the advisors would request a meeting with Dr. Jones as soon as possible to work out chapter difficulties.

The chapter's officer election resulted in a new Recording Secretary, Deborah Wary.

In New Business, it was decided that Deborah Wray would be inducted as Recording Secretary at the next meeting.

In preparation for the Christmas parade, it was reported that Howard Bethany had painted the plywood sign for the Halifax Community College float and that it was ready for lettering. Use of an opaque projector was proposed for the lettering. Kristen Bowden offered to sketch out the lettering instead, and members said they would then paint the sign.

The chapter banner will be ready for use at the induction ceremony, but the pole is too fragile for use on the parade float.

Plans for the Fall Induction ceremony were discussed.

Appreciation plaques for the Co-Registrars were shown to members. They are to be presented at the induction ceremony.

Meetings Minutes
November 9, 2006

Acting President Johnnie Stevenson called the meeting to order at 4:01 in Room 102.

The agenda first addressed getting copies of the By-Laws and meeting minutes to those on the distribution list as specified in the By-Laws.

Doughnut and coffee sale plans were finalized. Orders are to be taken until Friday, Nov. 17, and delivery will be on Nov. 21. The Krispy Kreme website has a sign-up sheet. We will design a flyer, post it around campus, and e-mail it to all employees on Groupwise. All proceeds will go to help a child at Manning Elementary and his or her family at Christmas. Doughnuts will be $5 a box and coffee $8 for a 12-ounce bag. Johnnie will pick up on the morning of Nov. 21. Members decided to make permanent, reusable posters for sales—with a place to change the dates.

The Christmas parade float was then discussed. Alpha Eta Phi "Good As Gold" was chosen as the them e. Members decided to work on details for the next meeting. The parade is Dec. 10.

Having the new banner ready for display on the float was also discussed. There has been some difficulty finding an affordable way to put the chapter name on the banner. A suitable pole also needs to be obtained.

Members decided to send Dawn Veliky a recognition gift to thank her for her work with Phi Theta Kappa. Details are to be worked out.

MEETING MINUTES
October 26, 2006

 President Johnnie Stevenson called members of the Alpha Eta Phi chapter to order at 12:06 pm on October 26, 2006, in Room 102. The agenda was to discuss By-Laws, fundraising, chapter banner, graduation stoles, the Phi Theta Kappa retreat, Fall Festival, T-shirts, website, Christmas float, and Hallmarks.

 Advisor Lamine Conteh pointed out that 12:00 on Thursdays is the time set aside for all campus meetings and that advisors might need to attend committee meetings at that hour. He noted that some meetings were planned to last about 30 minutes, which would permit advisors to attend two meetings during the hour. He proposed that communication and scheduling be established to make this possible. It was agreed that a meeting might begin at 12:00 or at 12:30 on such days, especially if at least one advisor wanted to be at the chapter meeting. The President noted that it might also be necessary at times to meet without the presence of an advisor.

 It was then announced that the chapter By-Laws had been approved by Headquarters and placed on permanent file. Members decided to make paper copies available, to e-mail copies to current members, and to make the By-Laws available on the website.

 Fund raising was the next item. Krispy Kreme doughnut sales have proven to be effective, so the members decided to have another drive. It was pointed out that Krispy Kreme provides sign-up sheets for members to use when taking orders. It was also decided to include the Krispy Kreme coffee in this sale.

 The next item was the chapter banner. Members decided that they wanted no fringe on the banner and the chapter name only if it could be silk screened in a color matching the color of the lettering already on the banner. Embroidery is not to be used on the banner. Advisor Cathy Farabow said she would take the banner to Mary Tillery's husband to see if he can do it.

Graduation stoles, the members decided, will be ordered in January only to coincide with the ordering of caps and gowns. Any other orders for stoles would have to be done by individual students.

Johnnie Stevenson reported on the Phi Theta Kappa retreat he attended the previous weekend. He met other chapter and regional officers and members who shared experiences and advice. He reported benefiting greatly from the experience.

The Fall Festival, scheduled for October 31, was next discussed. Members decided to set up and man a table with brochures, applications, plaques, T-shirts, etc. Invitation letters have gone out to all prospective members, and it was hoped that some might take an application during Fall Festival.

The Better World Books project will be shared again this year with the SGA. The designated recipient has been changed to the National Center for Family Literacy.

Voting procedures for the next election were then discussed. It was suggested that a check-off list be used for voting and that members could cast votes with all three advisors, who would each have a ballot box.

It was reported that a company in Rocky Mount could make short-sleeved T-shirts for $6.00. It was suggested that members be thinking of a slogan for the shirts.

The website is under construction. President Johnnie Stevenson asked members to look at the sites which won awards last year for ideas.

The Christmas float was discussed next. Members expressed interest in including Phi Theta Kappa on the float, which is usually put together exclusively by the SGA.

Johnnie Stevenson pointed out that all the Hallmarks need to be addressed by the chapter and that this will be examined later.

It was reported that the Registrar's office will now place a notation in the computer on Phi Theta Kappa members' official transcripts rather than using the stamp.

Founder's Day will be remembered in November—probably in the display cabinet in the 100 Building.

Additions and corrections to the current member e-mail list were sought. A few current members are not receiving all chapter communications. There is, members were reminded, a Phi Theta Kappa bulletin board across from the Bookstore.

MEETING MINUTES
October 12, 2006

  Acting President Johnnie Stevenson called members of the Alpha Eta Phi chapter to order at 12 pm on October 12, 2006. The agenda was to discuss fund raising, vote to approve amendments to by-laws, and discuss the role of the chapter in the SGA Fall Festival .

 The By-Laws were approved, and Cathy Farabow, a chapter advisor, was asked to send them to Headquarters for approval.

 Members voted to purchase a pumpkin for the contest sponsored by the SGA. Kristen Bowden agreed to carve and decorate it. Members also decided to conduct a membership drive during the festival for eligible students.

 The new chapter banner was presented to members. The decision was made to see if the chapter name could be added—preferably by silk screening—to the bottom of the banner.

 Graduation stoles, it was decided would only be ordered once by the chapter after the spring induction.

 Also discussed was the possibility of sponsoring a family at Christmas.

 Another idea proposed was to prepare food bags for a program recently begun in the public schools for children who may not have food available to them over the weekend.

 After sharing refreshments, the meeting adjourned at 12:40 pm.
